The Challenge
A UK property investment education business, running large-scale events and training programmes for investors, developers and business owners, had reached a point where growth was outpacing its ability to operate consistently. Around 600 new leads were entering the business every month, and hundreds of events were being delivered every year, but the systems behind that activity had not kept up with the pace of expansion.

Orders were processed in one place, event attendance in another, commissions in standalone files, and financial tracking elsewhere again. Nothing was broken in isolation, but nothing was connected either, which meant every report and every decision depended on manually pulling information together from wherever it happened to live.
The operational cost of that fragmentation was significant. Daily lead allocation alone consumed 2 to 4 hours of staff time every single day, simply moving new leads to the right person. Post-event reporting, needed to understand what had worked and follow up while interest was still high, took several days to compile, by which point the moment to act on it had often passed. Left unaddressed, continued growth would have required a substantial expansion of admin and sales support roles just to keep the business running at the same standard.
The Solution
The business partnered with a Salesforce implementation team who spent significant time up front understanding how the organisation actually worked, rather than applying a generic template. That meant time on-site with sales, events, marketing and finance teams, observing how leads moved through the funnel, how events were run day to day, and where the manual handoffs were causing the most friction. That grounding shaped a platform built around the business's real operating rhythm, delivered incrementally so teams could adapt without major disruption.
The solution included:
- Single operational platform: event bookings, customer enrolments, sales activity, contracts, commissions and reporting brought together in one connected system, managing the full lifecycle from initial lead through to event attendance, purchase, and follow-up.
- Automated order processing: order records, agreements, invoices, and payment receipts generated and issued automatically the moment a customer purchased a programme, removing a layer of manual admin that had previously required staff to prepare and send each document by hand.
- Flexible payment plans: instalment payment options with built-in approval workflows and tracking, plus automatic credit reconciliation if a customer switched to a different programme, removing what had been a manual, error-prone reconciliation process.
- Integrated telephony: sales teams able to manage outbound and inbound calls directly within the platform, without manual dialling, improving both productivity and how quickly new leads were contacted.
- Shared visibility across teams: marketing, sales and delivery teams working from the same live information, so a customer's experience was consistent whether they were speaking to a salesperson, attending an event, or being followed up with afterwards.
The Result
Lead allocation dropped from 2-4 hours per day to under 30 minutes, freeing a significant portion of admin time that had previously gone into manual routing alone. Post-event reporting, once a multi-day task, now takes minutes, where teams can act on what worked while it is still relevant. Leads are now contacted 30-50% faster than before, directly improving conversion at the top of the funnel. The 31 disconnected systems and spreadsheets that previously held the business's data were replaced by a single source of truth, giving leadership confidence in the numbers behind every decision.
The scale of the efficiency gain was significant enough that the business estimates it avoided hiring the equivalent of 17 full-time sales and admin roles, representing roughly £425,000-£510,000 in annual costs that didn't need to be spent. Instead, the existing team of around 100 people was able to absorb the growth, with staff spending less time moving and checking information and more time on the relationships and event quality the business is built on.
